Retriever vs QuickBooks invoice reminders
Mike Demo, Founder · 21 October 2026
QuickBooks Online can send reminders on a schedule. Retriever, part of FullBoat, follows up as your rep would: it reads the reply and acts on it. Here is the difference, and when the built in reminders are all you need.
What QuickBooks reminders do
- Up to three automatic reminders per invoice, each set a number of days before or after the due date, up to 90 days either way.
- Your own wording for the subject and message, sent to the customer's email on file.
- Set once in Account and settings, under Sales. On QuickBooks Online Advanced, reminders can also be built with workflows.
Where reminders stop
- They do not read replies. A customer who writes back "we will pay on the 15th" or "this invoice is wrong" still gets the next reminder on schedule.
- They go to one address. Often that is the person who signed, not the person in accounts payable who releases payment.
- They come from the company, not a person. A note from the rep the client knows gets answered more often than a system email.
- Nobody hears when it matters. A dispute or a promise sits in an inbox until someone happens to look.
What Retriever does instead
| QuickBooks reminders | Retriever | |
|---|---|---|
| Schedule | Up to three reminders you set | Day 1, 7, 14, a statement of account at day 21, a final notice at day 30 |
| Sender | Your company | Your rep, by name |
| "We will pay on the 15th" | Next reminder still goes | Pauses until after that date, then checks your books |
| "This invoice is wrong" | Next reminder still goes | Stops on that invoice and brings it to you |
| "We already paid" | Next reminder still goes | Checks your books; if the payment is there, it closes |
| Final notice | Sends on schedule | Waits for a person to approve it |
| Accounts payable | Only if that is the address on file | Statement of account goes to accounts payable at day 21 |
| Wording | Your template | Reviewed templates; AI only sorts replies and never writes to clients |
When QuickBooks reminders are enough
If most clients pay within a week or two of a nudge, invoices are small, and someone already reads the replies, the built in reminders do the job. Retriever is worth it when overdue invoices pile up, replies get missed, or chasing payment is eating someone's week.
Common questions
Does Retriever send from our domain? It writes in your rep's name, with replies going to your rep's inbox as well as to Retriever, and you can send from your own domain once it is verified.
Will it email a client who already paid? It checks your books before every email, so a paid invoice is not chased.
Does it threaten fees or collections? No. It never mentions fees or collections, and it keeps a weekly cap per person and sends in business hours only.
